The AI Implementation in Business package costs from 12,000 PLN and is the Hanse Studio flagship. This is not a single workflow, not a single assistant, but a complete AI stack for SMBs in one scope: audit plus 2 to 3 assistants plus 3 to 5 automated workflows plus team training plus 90-day support. In this article we show whom we recommend 12k to, whom absolutely not, what the timeline is from signature to go-live and how to calculate ROI so that the decision is based on numbers, not excitement.
What you get in the 12k package
The flagship package is 5 deliverables, each corresponding to a separate Hanse Studio package. The price of 12,000 PLN includes a scope worth 18,000 to 22,000 PLN at market value (if you bought each element separately). The bundle discount comes from two sources: shared kickoff and discovery (we save 8 hours), shared infrastructure (n8n self-host, monitoring, audit log for all workflows and assistants in one installation).
- AI Audit 5 to 7 days discovery plus 90-day roadmap: full scope of the AI Audit package (from 1,500 PLN standalone) included in 12k. Process mapping 8 to 15 processes, identification of AI-relevant ones, ROI estimation, stack recommendation, 90-day plan. PDF deliverable 12 to 15 pages.
- 2 to 3 AI assistants built: full stack of the AI Assistant on Telegram package (from 3,000 setup standalone, 800/mo retainer) x 2 to 3 people/departments. Each assistant with brand voice, integrations Gmail/Calendar/one CRM, 4 to 8 commands. Typically: sales assistant, finance assistant, ops assistant.
- 3 to 5 automated workflows: full stack of the Process Automation package (from 3,000 PLN per workflow standalone) x 3 to 5. Selected from 5 use cases (invoices, leads, inbox, monthly report, FAQ bot) plus 1 to 2 custom per client.
- Team training: 2 sessions x 2 hours. Session 1 (after 4 weeks from signature): how to use assistants on Telegram, common pitfalls, escalation patterns. Session 2 (after 8 weeks): how to monitor workflows, how to intervene in errors, how to file feature requests to us.
- 90-day post-launch support: monitoring + tweaks + monthly review calls (3 meetings x 30 minutes, after each month). Unlimited bug fixes within the 90-day period. Unlimited minor adjustments (tweak system prompts, add a command). Major new features (e.g. a new integration, a new workflow) quoted separately.
The 12,000 PLN price is the sum of setups. Retainer post-90-day is optional: 1,500 PLN/mo for the full portfolio (assistants plus workflows monitoring plus monthly improvement) or 800 PLN/mo for minimal monitoring (only uptime alerts). Without a retainer everything still works, but the client manages monitoring themselves.
Whom we recommend this package to
The 12,000 PLN package is not the first option for every client. It is an investment that pays back for specific types of companies. Three profiles where ROI is very high in 6 to 12 months.
Profile 1: Solo founder as bottleneck CEO
Classic owner-bottleneck pattern. Owner of a small company (1 to 5 people), who personally handles 20+ processes daily: email triage, customer support, sales follow-ups, invoicing, scheduling, social media, metrics monitoring. Everything goes through one person. Company growth is limited by owner capacity, not market demand.
The 12k package for this profile: 2 assistants (sales + ops), 5 workflows (inbox triage, leads, invoices, monthly report, social posting). Result: 60 to 100 hours per month saved. The owner does not need to hire the first operations person (saving 5,000 to 8,000 PLN/mo of salary plus HR overhead). Instead, they can focus on sales or strategic growth.
Profile 2: SMB 5 to 30 employees with chaotic ops
Company in the growth phase, 5 to 30 people, but operations are chaotic: no central CRM (everyone has their own), email everywhere (Slack, WhatsApp, Gmail mixed), manual reports (Excel manual copy-paste from 4 sources), no documented processes. The owner sees the company growing but operations falling apart and each new client generating stress.
The 12k package for this profile: the audit is the highest value (not just AI, but process mapping shows where the chaos is), 3 assistants (sales, finance, customer service per department), 5 workflows (lead enrichment, invoices, inbox triage, monthly report, FAQ bot). Result: operations standardization, less manual work, better visibility (monthly report with aggregated metrics). This is often the moment when a company jumps from chaotic SMB to structured operation.
Profile 3: B2B company with stable processes but high backlog
The company already has mature processes, stable CRM, good team. The problem: the team is capacity-bound. The sales team handles 50 deals simultaneously, but each lead enrichment is 30 minutes of manual research. The customer support team responds to 80 messages per day, 50 percent are repeating FAQ. The finance team spends 3 days on monthly close. Each department could do more, but lacks time.
The 12k package for this profile: 3 specialized assistants (sales analytics, finance reports, ops monitoring), 5 workflows (lead enrichment, FAQ bot, monthly close automation, contract drafting, invoice processing). Result: the team has capacity for 50 to 80 percent more deals/messages/transactions without hiring. ROI fastest in this group (1 to 2 months breakeven) because hourly rates are higher.
Whom we do NOT recommend
The 12k package does not fit everyone. Three profiles where we explicitly say “do not implement now” and recommend another path. Honesty in this dimension is part of the Hanse Studio offering.
- Micro-business <3 people with <5 processes. Overkill. Owner is self-sufficient, processes too few to justify 12k. Recommendation: the Assistant on Telegram package (3,000 PLN setup) plus optionally 1 workflow (3,000 PLN). Total 6,000 PLN, covers needs for 12 to 18 months.
- Companies with immature processes. The company has no documented processes, each employee does it differently, no central CRM, no tracking. Trying to implement AI on this chaos increases the chaos, not decreases it. Recommendation: first 3 to 6 months of process mapping plus CRM implementation (Pipedrive, HubSpot setup), only then AI audit and possibly the 12k package.
- Client looking for “magic AI” without change management. The owner says “implement AI and let the team do the same things faster”. Without readiness for change management (training, process adaptation, acceptance that AI sometimes makes mistakes), the implementation will not succeed. Recommendation: discovery call with three questions: does the team know about the planned AI, are they ready for 2 training sessions, will the owner accept a 90-day adjustment period. Without “yes” to all three, defer the project.
Hanse Studio rejects approximately 25 percent of inquiries for the 12k package for the above reasons. This is not sales suicide but a long-term investment: a client for whom AI does not work after 90 days is negative word-of-mouth. Better to say “no” upfront and propose a smaller package that will work.
Timeline from signature to go-live
The standard timeline is 8 to 12 weeks from signing the contract to a stable state with all components live. Shorter (6 to 8 weeks) for clients with mature processes and well-prepared data sources. Longer (12 to 16 weeks) for clients with compliance requirements or exotic systems.
- Phase 1 audit (weeks 1 to 2): kickoff call, interview with owner plus 2 to 3 team members, process mapping, ROI estimation, stack recommendation, PDF roadmap. The client accepts before Phase 2.
- Phase 2 design (week 3): definition of 2 to 3 assistants plus 3 to 5 workflows. Per element: spec document (scope, integrations, success criteria), the client accepts. Voice extraction of emails (preparation for assistants).
- Phase 3 build (weeks 4 to 9): parallel assistants and workflows. Per assistant: 1 to 1.5 weeks build. Per workflow: 1 to 2 weeks build. Sequencing by priority from the roadmap (quick wins first).
- Phase 4 training (week 10): 2 sessions x 2 hours with the client’s team. Session 1 for assistant users (CEO, sales, ops). Session 2 for workflow monitors (finance, IT, ops).
- Phase 5 launch (week 11): production rollout per element. Intensive monitoring in the first week, daily audit log checks, daily check-in with the client.
- Phase 6 90-day support (weeks 12 to 24): continuous monitoring, monthly review calls (3 meetings), tweaks and fixes. The client sees metrics in a dashboard (uptime, workflow execution count, tokens used, errors).
The client does not wait 12 weeks for first benefits. Quick wins (1 to 2 most impactful workflows, e.g. inbox triage and invoices) go live in weeks 6 to 7. Other components follow successively. After 8 weeks from signing the client already has 50 to 60 percent of the target savings.
A practical consequence of the sequencing: the package invoice is split into 4 installments (30/30/20/20) by milestones, but the real benefit is felt before payment is due. First installment 3,600 PLN after signing, second 3,600 PLN after design acceptance (week 3), third 2,400 PLN after Phase 3 build complete (week 9), fourth 2,400 PLN after Phase 5 launch accepted. Cashflow spread over 11 weeks, real ROI starts in week 7. The client is usually break-even before paying the last installment.
ROI: how to calculate
The 12,000 PLN package is an investment that should pay back in 2 to 4 months after full implementation. Specific numbers from our 2025-2026 practice.
Costs: 12,000 PLN one-time setup (paid in 4 installments 30/30/20/20 by milestones), 800 to 1,500 PLN/mo retainer after 90 days (optional), 50 to 500 PLN/mo licenses (Anthropic API typically 50 to 200 PLN per assistant, n8n hosting Hetzner 20 USD/mo, Pinecone free tier is enough for most SMBs, Apollo or Apify subscriptions if leads), 20 USD/mo hosting infrastructure. Total operational cost post-setup: ~900 to 2,000 PLN/mo.
Savings: 60 to 120 hours per month of team time, depending on the profile. SMB average rate 80 to 150 PLN/h (admin/ops), 200 to 400 PLN/h (senior/specialist). For a typical profile 80 hours x 120 PLN/h average rate = 9,600 PLN/mo savings. For a B2B profile with more expensive roles 100 hours x 250 PLN/h = 25,000 PLN/mo savings.
Breakeven: 12,000 setup divided by (savings – retainer). Example typical profile: 12,000 / (9,600 – 1,500) = 1.5 month breakeven. Example B2B profile: 12,000 / (25,000 – 1,500) = 0.5 month breakeven. 12-month ROI (post-breakeven): typically 80,000 to 250,000 PLN net profit in the first year.
External benchmarks: Anthropic publishes enterprise client case studies on Claude for Enterprise, where similar implementations report 3-5x ROI in the first year. The Hanse Studio 12k package is the small-business equivalent of these enterprise deployments, at 1/100 to 1/1000 of the typical enterprise implementation price.
What comes after the 12k package
After 90 days of stabilization the client has 4 further options. The choice depends on the result of the 90-day support period: whether the client is self-sufficient, wants continuous improvement, or wants to expand.
- Option A standalone: the client manages everything, Hanse Studio available ad-hoc. No retainer. Per intervention 200 PLN/h. Fits clients with an in-house technical team.
- Option B standard retainer 800 PLN/mo: monitoring + minimal tweaks. Uptime alerts, monthly review, up to 1 hour of adjustments. Fits most SMBs.
- Option C full retainer 1,500 PLN/mo: monitoring + active improvement. Up to 4 hours per month of tweaks plus one small feature per quarter (e.g. a new category in inbox triage, a new data source in monthly report). Fits clients who want continuous improvement.
- Option D expansion: additional workflows (2,000 to 3,000 PLN per workflow) or assistants (2,500 PLN setup plus 600/mo per assistant). Fits clients who see value and want to expand their operations coverage.
Regardless of the option, the client retains full access to their infrastructure (n8n, MCP servers, conversation history). The voice profile JSON, system prompts, spec documents are the client’s property and can be migrated to another dev studio if the client ever wants to switch.
Case study sample
Fictional example (anonymized, based on a real 2025 client): e-commerce SMB 12 people, home garden industry, 800 orders per month, 50 invoices to bookkeeping per month, 60 B2B leads per month (wholesale), 40 customer support messages per day. The owner spends 60 hours per week on operations, 10 hours on strategic growth. Company growth halted by owner capacity.
12k package applied: (1) inbox triage assistant owner-style (1.5 hours per day x 22 days = 33h/mo savings), (2) order-status FAQ bot (40 messages per day, 60 percent handled without human = 4h/day x 30 = 120h/mo, but support team time, not owner), (3) invoices to bookkeeping auto (30h/mo savings), (4) monthly sales report auto (8h/mo), (5) lead enrichment CRM (5h/mo).
Result after 90 days: 76 hours per month saved for the owner plus 120 hours for the support team. The owner moved from 60h/week of operations to 25h/week, has 35h/week for strategy and sales. Support team from 5 people to 3 people (2 people moved to account management). Total year 1 ROI: 96,000 PLN net profit at the cost of 12,000 setup and 1,500 retainer/mo.
Secondary effects after a year: orders/mo from 800 to 1,100 (more owner time on marketing and upsell), customer satisfaction (CSAT) from 4.1 to 4.6 (FAQ bot answers in seconds instead of hours), team satisfaction increased (less manual repetitive work, more account management). These effects are harder to quantify in PLN but are a frequent topic during monthly review calls and often drive the client’s decision to expand (Option D in the “What comes after” section).
FAQ
Is 12,000 PLN a full stack or a starter?
Starter for a mature SMB setup. The package covers audit plus 2 to 3 assistants plus 3 to 5 workflows plus training plus 90-day support. This is sufficient for a typical SMB of 5 to 30 people. Larger companies (50+ people, 10+ departments) need an enterprise stack (50,000 to 200,000 PLN), which we quote custom after discovery.
Can I split the payment?
Yes, 4 milestones: 30 percent after signing (advance), 30 percent after Phases 1 and 2 (audit plus design accepted), 20 percent after Phase 3 (build complete), 20 percent after Phase 5 (launch accepted by the client). Optionally 6 installments for larger deals or clients with a preferred monthly cashflow. VAT invoice, 14-day payment term on each installment.
What if I do not see ROI after 90 days?
The 12k package includes a 90-day review call. Together we check the metrics (hours saved, workflow execution count, assistant usage). If ROI is below the threshold (usually 50 percent estimated), we run an adjustment: we identify what is not working, plan a retro (usually 2 to 4 weeks of tweaks at no additional fee). In extreme cases (ROI below 20 percent estimated) we refund 25 percent of the cost (3,000 PLN). This is not the standard outcome, but a guarantee in the contract.
Does Hanse Studio also train the team in daily operation?
Yes, 2 x 2-hour sessions in the package. Session 1 for assistant users (typically 3 to 5 key people in the company), session 2 for workflow monitors (typically 1 to 2 IT or ops people). Self-study materials (PDF user guide, video tutorials per assistant) included. Additional sessions 800 PLN per session, e.g. for new employees in the first year.
Do I need an earlier audit if I am taking the 12k package anyway?
No, the audit is part of the package (Phase 1). The client does not pay 1,500 PLN for the audit plus 12,000 PLN for the package. One invoice of 12,000 PLN, the audit performed in the first 2 weeks as the first phase. If the client previously ordered a standalone audit from 1,500 PLN and decides on the 12k package within 6 months, 50 percent of the audit cost (750 PLN) is credited toward the package price (effective price 11,250 PLN).
The AI Implementation in Business package from 12,000 PLN is the Hanse Studio flagship: audit plus 2 to 3 assistants plus 3 to 5 workflows plus training plus 90-day support. An investment that pays back in 1 to 4 months for a mature SMB. Before deciding, start with the AI Audit from 1,500 PLN to assess whether the 12k package makes sense for your company.
